OVERVIEW
OF THE POSITION
Provides clerical support to the WIC program, including
both direct and indirect client services, ensuring efficient program operation.
RESPONSIBILITIES/DUTIES
¨ Front office reception of clients and guests, projecting a
friendly and welcoming atmosphere for the office. All aspects of the position require utilizing
top notch customer service skills with the public and community partners.
¨ Every aspect of the position also utilizes advanced technical
computer skills, as well as problem solving and reasoning while using the TWIST
data base system.
¨ Ability to multi-task accomplishment of many job responsibilities
at once is essential.
¨ Checks in clients for their WIC appointments.
¨ Determines income eligibility, proof of identity and residency and
provides proper paperwork, enters updated information in WIC TWIST data base
system.
¨ Answers multi-line phone system and handles inquiries regarding
appointments, address changes, eligibility, etc. Makes appropriate referrals to WIC
coordinator, lactation educator, or other services when necessary.
¨ Schedules appointments utilizing TWIST appointment scheduler,
coordinating family appointments as much as possible.
¨ Prints food instruments (FI’s) for client at completion of WIC
certification, distributes to client and provides training on the use of FI’s
in stores.
¨ Class check in and determination of how many months of FI’s to
distribute for each client. Obtains
appropriate signatures.
¨ Processes transfers into and out of WIC clinic, communicating with
outside WIC agencies as necessary and determining whether or not FI’s need to
be issued.
¨ Obtains newborn information and processes temporary newborn
certification.
¨ Run weekly office reports and follow up on actions necessary such
as calling clients, or rescheduling no shows.
¨ Run appointment postcards weekly and prepare for mailing.
¨ Run graduation letters weekly and prepare for mailing
¨ Problem solves FI issues
¨ Orders WIC forms from the State WIC mailroom as necessary to keep
forms stocked.
¨ Accompanies WIC certifier to outreach clinics and assists with WIC
clinic there.
¨ Assists WIC Coordinator when necessary.
EDUCATIONAL/VOCATIONAL
PREPARATION
Requires
extensive computer experience and ability to utilize computer efficiently and
independently; Three year's clerical experience preferred; ability to
multi-task and handle stressful environment; Good customer service skills a
must; Ability to handle multi-line phone system; Knowledge of office practices
and procedures; Ability to write legibly.
EXCELLENT BENEFITS & COMPENSATION
This is a
full time position with the Public Health Department. The starting pay for this
position is $10.75 per hour. Future increases are reviewed annually and are
based upon performance and movement on a 7 step scale which extends up to a
current maximum of $13.60 per hour. This
position is represented by the International Laborer’s Union, Local 121. The normal work schedule is 8 hours per day,
5 days per week. This position is
classified as Non- exempt under the Fair Labor Standards Act (FSLA) and
therefore is eligible for overtime pay.
