OVERVIEW
OF THE POSITION
Performs highly responsible office support
duties of an administrative and/or fiscal nature in the Public Health
Department; involves a considerable variety and complexity of assignments
requiring independent judgment. This position shall be deemed a confidential
employee to the Director.
RESPONSIBILITIES/DUTIES
t Provides high level administrative support to Director and to
Management Team as directed.
t Assists the Director in ensuring that all original contracts and Intergovernmental
Agreements and amendments are processed, monitored for currency, maintained in
notebooks/files, with copies for managers, as appropriate.
t Interacts with the Human Resources on various personnel matters in
order to properly complete and submit personnel action forms and evaluations;
responsible for maintaining highly confidential and sensitive material for the
Director’s Office;
t Processes travel requests (including making needed lodging
reservations)and building maintenance requests for the
Department.
t Creates and prepares advanced word-processing and spreadsheet
documents as assigned, including manuals, booklets, graphs
and statistical reports.
t Provides training to staff on certain procedures and computer
programs.
t Types and composes Departmental policies and procedures, forms,
reports, correspondence, requisitions, payment authorizations, tabulations and
other material from rough draft, dictation, dictating machines, oral
instructions or originates needed material.
t Submits and maintains Departmental log of professional
certifications.
t Attends various meetings with or on behalf of the Director and
keeps minutes, notes or prepares written documentation & distributes
minutes when required.
t Develops and maintains a detailed written Departmental procedure
manual that is approved by the Director.
t As assigned by the Director, responsible for monitoring progress
of projects assigned to other office employees.
t Assumes a cross-training/coverage role for Vital Records issuance
and for cashier till reconciliation.
t Analyzes the work flow and makes recommendations for improvement
t Briefs the Director of significant events involving staff.
t Help prepare agendas for Departmental All Staff and Management
Team meetings. Maintains records of attendance and documentation of training
received by staff.
t Maintains Departmental master key box, key list, and phone lists,
contacts & e-mail lists for communications purposes.
t Maintains parking lot assignment list, and calendars for
conference rooms.
t Receives Director’s visitors and answers Director’s phone as
directed; telephones, responds to inquiries from the public, either in person
or by telephone, as directed.
t Maintains Director’s computer appointment program by noting
individual appointments on calendars in appropriate section; prepares and
provides the Director with materials for appointments and presentations;
prepares and updates weekly calendar; when required, confirms appointments with
the Director and participants.
t Opens, date stamps, sorts and distributes all incoming USPS mail
for the Director.
t Performs other duties as assigned by the Director.
EDUCATIONAL/VOCATIONAL
PREPARATION
Three years of responsible administrative
assistant or secretarial experience.
EXCELLENT BENEFITS & COMPENSATION
This is a
half-time to full-time position with the Public Health Department. The starting
salary for this position is $14.17 per hour. Future increases are reviewed
annually and are based upon performance and movement on a 7 step scale which
extends up to a current maximum of $18.42 per hour. Work schedule to be
determined. This position is classified as Non-Exempt under the Fair Labor
Standards Act (FSLA) making it eligible for overtime pay.
